Communication

  1. Provide our managers with laptop computers and smartphones for timely access to all communications and issues.
  2. Prepare all communications for the Board of Directors.
  3. Publish communications, web postings and email blasts provide an information line to keep owners and residents apprised of the actions of the Board and Management and announces important community policies, programs, and events.
  4. Publish an Owner’s Handbook. This Welcome and Reference Book provides a consolidation of architectural standards, community information, rules and regulations, and other important items.
  5. Submit management reports or updates for the board. These reports summarize all activities of management relative to administrative matters, communications, covenants, insurance, financial, legal, engineering, transition, maintenance, personnel, and recreational amenities. They include our work order, compliance and architectural reports.
  6. Attend board meetings. Prepare all announcements, agendas, and meeting package of information. All agendas, management reports, contracts, bid analyses, and relevant correspondence to be provided to the Board three days in advance of the board meeting. 
  7. Utilize, staff, and equip an onsite office (when available) at the expense of the Managing Agent for purposes of onsite administrative functions and record keeping. Utilize the Managing Agent’s offsite office for further administrative support and for all financial record keeping.
  8. Provide 24 hour emergency answering and paging service.
  9. Employ the requisite managerial, accounting, and clerical personnel to effectively administer to the Association’s operations.
  10. Administer to the enforcement of rules and regulations and architectural controls through proven systems of inspection, reporting, tracking; prepare and schedule notices of complaint, cease and desist notices, and notices of hearing before the Association’s covenants committee.
  11. Attend Committee meetings as required.
  12. Listen objectively to the concerns of residents, analyze and evaluate them, and respond to them fairly and effectively
  13. At the Board’s direction, interact with the Association’s attorney, auditor, engineer and other professionals, along with municipal officials.
  14. Maintain a current membership and tenant listing.
  15. Support various websites for association and management use and interaction, including our INTEGRA Portal, which provides a look into our financial and properly management system for unit account information, work order request and tracking, architectural requests and tracking / voting, and invoice review by board members, along with other features.
